Pre-Site Heritage Documentation Checklist

Use before every heritage documentation site visit to ensure permissions are secured, equipment is ready and the site team is briefed. Applicable to photogrammetry, laser scanning, drone survey and hand measurement projects.

Permissions and stakeholders

  • Written permission obtained from the site owner or custodian

    For ASI-protected sites, Form-7 permission letter required from the relevant ASI circle office

  • Temple / mosque / church religious authority or priest (archaka) informed and consent obtained

  • Local ASI circle office informed (if centrally protected monument)

  • INTACH state chapter notified if INTACH-listed heritage

  • Municipal or district authority permission obtained if public road closure required

  • Written confirmation of scope and deliverables issued to client or owner

Site reconnaissance

  • Site recce walk-through completed (in person or via recent satellite imagery)

  • Access constraints identified — locked areas, narrow passages, high elements requiring scaffolding or aerial equipment

  • Safety hazards noted — unstable fabric, deep excavations, restricted chemical or biological zones

  • Ground Control Point (GCP) placement locations identified and accessible

Equipment preparation

  • Camera(s) charged and sensor cleaned

  • Memory cards formatted and capacity verified for full-day capture

  • Drone batteries charged — minimum 3 full sets for a full-day shoot

  • Total station or GNSS receiver calibrated and batteries charged

  • Measurement equipment packed — tape, laser distance meter, spirit level

  • Laptop with processing software installed and licence verified

Team briefing

  • Team roles assigned — lead surveyor, camera operator, safety watch, GCP team

  • Site safety briefing completed — emergency exits, first aid location, emergency contact numbers
